Share with a customer, or share with your team EN

Two permission recipes side by side, and what each one lets a viewer do.

You share a recording with a customer by inviting their email address (or sending the link), then turning off the viewer options you don't want them to have. You share with your team by recording into a team workspace, where teammates can already open it. Either way, the same Settings toggles decide what viewers can do.

Two things to know first

  • The viewer toggles belong to the recording, not to the audience. One recording has one set of toggles, and they apply to everyone who can open it, teammates included. If a customer and your team need different permissions, share the customer a separate recording.
  • Owners aren't limited. You can always download, read the transcript, comment and see the view count on your own recordings.

Every new recording starts out Private. Nobody outside you and your teammates (in a team workspace) can open it until you change its General access settings from the Share modal.

What each option lets a viewer do

The Settings tab on the video page has these switches. All of them are on until you change them.

Two more settings are yours alone:

  • Suggest a playback speed shows viewers a suggested speed they can select.
  • Comment notification emails you when someone reacts or comments.

Tasks can only be added by you as the owner.

Recipe 1: Share with a customer

A customer usually isn't in your workspace, so you share with them directly. You choose how tightly to control who can open it.

  1. Open the recording and select Share.
  2. Under General access, choose one:
    • Specific people if only the customer should watch. Enter their email address (you can type Name <address> to include a name), then select Invite. They'll need to sign in with that same address to watch.
    • Anyone with the link if you'd rather send a link. Anyone who has it can watch, including people who aren't signed in. Use Copy link to copy it.
  3. Select Done.
  4. Open the Settings tab and decide what the customer gets. A common setup:
    • Download off, if you don't want a copy leaving your account.
    • Transcript off, if it contains things you'd rather not show.
    • Comments and Emojis on, so they can reply at the moment they mean.
    • View Count off, so they don't see how many others watched.

A few things to expect:

  • With Anyone with the link, a viewer who isn't signed in can watch but has to sign in to comment or react.
  • People you invite are emailed when you add them. Adding someone later doesn't email the people you already invited. See Who gets an email when you share.
  • If someone on your team also belongs to the workspace, they can open the recording as well. See the next recipe.

Recipe 2: Share with your team

Teammates don't need an invitation. If you record into a team workspace that has two or more active members, the other members can open your recordings, even when General access is Private.

  1. Record into the team workspace. See Set where your next recording lands.
  2. Leave General access as it is, unless someone outside the workspace also needs to watch.
  3. Open the Settings tab. For a team, leaving Download, Transcript and Comments and Emojis on is usually right, since teammates are the people you want giving feedback.
  4. Turn on Comment notification if you want an email when a teammate comments.

Teammates are viewers, not owners. The toggles above apply to them too, so turning Download off stops your teammates downloading as well.

Save your choices as defaults

If your recording settings stay the same way most of the time, set the toggles the way you want, then select Set defaults on the Settings tab. Your choices apply to future recordings, and you can still change each recording's own settings. General access isn't part of the defaults: every new recording starts Private, and you set its access in the Share window each time. See Set sharing defaults for every future recording.

Take access back

To stop a customer watching, change General access or remove their address. See Unshare, or revoke someone's access.
