Remove seats, and when it takes effect EN

Reductions are scheduled for the next cycle, and can be reverted until then.

When you remove paid seats from a Pro workspace, nothing changes right away. The lower seat count starts at your next renewal. Until then, you keep every seat you have already paid for, and you can undo the change.

Before you start

Only the workspace owner can change the seat count. Admins can see a booked change on the Users & Seats page, but they cannot make or undo it.
The subscription must be set to renew. If you have cancelled it, you cannot change the seat count. See Cancel a subscription, and what you keep.
A workspace keeps at least one seat. The owner always holds a paid seat while the plan is active.
You cannot change the billing interval and the seat count at the same renewal. If a switch between monthly and yearly is booked, cancel it on the Billing page first. See Switch between monthly and yearly billing.

Remove seats

Open the Users & Seats page for the workspace.
In Seats, enter the number of seats you want to keep.
In Change, choose Remove next cycle. Seats cannot be removed straight away, so this is the only option for a lower number.
Click Update seats.
Check the Reduce to … seats dialog. It shows the date your seat count changes and what your renewal will cost. Nothing is charged today.
Click Confirm change.

Above the form, the page now says Changing to … seats on followed by your renewal date.

If you pay with PayPal, a PayPal window opens after you confirm. The change only counts after you approve the new renewal amount there. See Why a PayPal change is waiting for approval.

What happens until your renewal

Your current seats stay available. Everyone who holds a paid seat keeps it until the current period ends.
No refund. You have already paid for this period, so nothing is refunded for the seats you are giving up, in whole or in part.
You may not be able to assign more seats. If all the seats in the lower count are already assigned, you cannot assign another seat until the change takes effect. You will see: "This workspace is scheduled to drop to fewer seats, so no more can be assigned until then."

Who loses a seat at renewal

If more people hold seats than the lower count allows, some seats have to be taken back. Rekorder takes back the seats that were assigned most recently first. It never takes back the workspace owner's seat.

On the Users & Seats page, each seat that will be taken back still shows Yes in the Paid seat column, with releases and the date under it. At renewal, each person who loses a seat gets an email saying so. They stay members of the workspace.

What changes at renewal

Your renewal charges only for the new, lower number of seats.
If the lower count puts you in a smaller volume discount tier, the higher per-seat price applies to every seat from that renewal onwards. See Volume discounts and the seat cap.

Undo the change

Until your renewal, you can click Revert to … seats on the line that shows the booked change.

Card: the booked change is dropped immediately, and nothing is charged.
PayPal: PayPal asks you to approve the renewal cost again. Nothing is charged now.

Troubleshooting

"This subscription is cancelled and will not renew, so its seat quantity cannot be changed." Your subscription ends at the end of this period, so there is no next cycle to change.
"A billing interval switch is booked for your next renewal. Cancel it on the Billing page before changing seats for the next cycle." Only one change can be booked for the next renewal. Cancel the interval switch, or wait until it takes effect.
"Another seat change is already waiting for your approval. Finish or cancel that one first." A PayPal change is still waiting for approval. Approve it with Approve change, or withdraw it with Cancel change.
There is no seat form on the page. You are not the workspace owner, or the subscription is not set to renew.
