Move recordings between folders and workspaces EN

Including why a workspace is sometimes offered but refused as a destination.

You can move a recording into a different folder, into a different workspace, or both, from a single Move window. Moving doesn't copy the recording or change who owns it. A workspace can show up in the list and still be greyed out, and this article explains why.

Move one recording

  1. Find the recording in your library, or open it to its video page.
  2. Open its three-dot menu and select Move ….
  3. Under Workspace, pick the destination workspace.
  4. Under Folder, pick a folder in that workspace. Choose No folder (workspace root) to put the recording in the main view of the workspace, outside any folder.
  5. Select Move.

The page reloads and the recording is in its new place. If you pick the place the recording is already in, Rekorder tells you to pick a different workspace or folder.

When you change the workspace, the Folder list switches to your folders in that workspace. To create folders, see Organise recordings into folders.

Move several recordings at once

Select the recordings, then choose Move on the bar that appears. The window is the same, but it's titled Move recordings. It doesn't pre-select a workspace or folder. See Select several recordings and act on them at once for how selection works.

When you move several recordings, any that can't be moved (for example, ones already in the destination) are skipped without an error message. Check the destination afterwards if you selected a lot.

What you can move

  • Only recordings you own. Recordings a teammate made, and recordings shared with you, don't have a Move option.
  • Recordings that aren't archived. An archived recording only offers Unarchive and Delete, so unarchive it first. See Archive vs delete.
  • Into workspaces you're an active member of, and into your own folders in that workspace. You can't move a recording into a teammate's folder.

Why a workspace is greyed out

The Workspace list shows every workspace you belong to. If Rekorder would refuse the move into one of them, it's still listed but disabled, with the reason after its name. The two reasons are:

  • needs a paid seat. Moving a recording into a workspace counts as adding content to it, and that needs a paid seat in that workspace. Being a member isn't enough. Ask an admin of that workspace to give you a seat. See Give someone a paid seat, or take it back.
  • your free storage is full. This is your personal workspace, and your free allowance has no room left, so it can't take more. It appears for both the storage and the recording-time limit. If you select the workspace anyway, the message tells you which one you've used up.

To clear the second reason, delete recordings you no longer need, or upgrade to Pro. See What happens when you go over your free limits.

A few things are easy to miss:

  • The seat rule also applies to the workspace a recording is already in. If you don't have a seat in a team workspace, you can't move its recordings between folders, because that workspace is disabled in the list too.
  • A full free allowance doesn't always block a move. If the recording is already in a workspace where you don't have a seat, moving it into your personal workspace doesn't add to what counts against your allowance, so it's allowed. That way you can still move recordings out of a workspace you can no longer add to. The move is refused only when the recording would start counting against your free allowance because it's leaving a workspace covered by your seat or Pro.
  • A missing seat is never overridden. Whatever your allowance, you can't move into a team workspace where you have no seat.
