Give someone a paid seat, or take it back EN

Assign, unassign and release, and what a reserved seat is for.

An owner or admin hands out a workspace's purchased seats from the Users & Seats page - to a member so they can record, upload or move content into the workspace, or to a pending invitation so the seat is waiting the moment the person accepts. The same page takes a seat back at any time.

Assign a seat to a member

  1. Open the workspace's Users & Seats page.
  2. Find the member's row and open its ⋮ menu.
  3. Select Assign paid seat.

The member can now record, upload and move recordings into this workspace. Nothing else changes - they already had access to view, comment on, download and edit everything there.

Reserve a seat for a pending invitation

You don't have to wait for someone to accept an invitation before giving them a seat:

  1. On the Users & Seats page, find the pending invitation's row and open its ⋮ menu.
  2. Select Reserve a seat.

A reserved seat counts as assigned right away, even though nobody holds it yet - so it lowers the number of seats shown as available. When the person accepts, the same seat transfers to their account rather than a new one being used, so accepting never needs a seat of its own. If you revoke the invitation instead, the reserved seat is released automatically.

Take a seat back

  1. On the Users & Seats page, find the row.
  2. Open its ⋮ menu and select Unassign seat (for a member) or Release reserved seat (for a pending invitation).

The seat goes straight back into the pool for someone else. Unassigning a member's seat doesn't remove them from the workspace - they keep access to watch, comment, download, edit and delete what's already there, but they can no longer record, upload or move new content into it, and their next recording lands in their personal workspace instead. The owner's seat

The workspace owner always holds a seat while the plan is active. It can't be unassigned, and the owner can't be removed or demoted - so a paid workspace always has at least one seat in use. The owner's row shows no seat controls.

Who can do this

Both the owner and any admin can assign and take back seats. A plain member can't - opening Users & Seats as a member only shows who owns the workspace. See Owner, admin and member: what each can do.

Troubleshooting

  • "All purchased seats are assigned. Buy more seats, or unassign one first." Every seat is in use. Either unassign one from someone who no longer needs it, or add more seats - see Add seats now, and what proration costs.
  • The Assign/Reserve option is greyed out, with "No seats available. Buy more seats first." Same cause as above, shown before you even click.
  • "This workspace is scheduled to drop to fewer seats, so no more can be assigned until then." A seat reduction is booked for your next renewal, and assigning would exceed the lower count. See Remove seats, and when it takes effect.
  • "That person already holds a paid seat here." They're already assigned; there's nothing to do.
  • "That seat has already been released." Someone else released it, or removed the member, just before your click. Reload the page.
  • "The workspace owner always holds a paid seat while the plan is active." You tried to unassign the owner's seat - this is never allowed.
