Your personal workspace, team workspaces, and who can see what is in each.
A workspace is where your recordings live. Every account starts with one personal workspace, and you can create additional team workspaces to record and share with other people. What matters most is who can see what: a personal workspace is private to you, while a team workspace is shared with everyone who's an active member of it.
Your personal workspace
Every account has exactly one, created automatically and marked PERSONAL on your Workspaces page. It can't be renamed away from being your default and can't be deleted.
- It's private. Nobody else can see, watch or be invited into your personal workspace.
- It covers your free allowance. Recordings you keep there count towards your account's 60 minutes and 1 GB of free cloud storage. See The free allowance: 60 minutes and 1 GB, explained.
- It can hold at most one paid seat. Buying a single seat upgrades your personal workspace to Pro. From two seats up, you're buying a team workspace instead, because a personal workspace can't have teammates.
Team workspaces
A team workspace is a shared space you create for recording and collaborating with other people.
- You create it. On the Workspaces page, select New Workspace and give it a name (up to 50 characters). You become its owner.
- It starts on the Free plan with no paid seats. Nobody can record or upload into it until you upgrade it to Pro and assign seats. Members can still watch, comment on and download whatever is already in it. See Upgrade a workspace to Pro.
- You invite people to it, and assign them a role of owner, admin or member. Roles control who can manage members and seats, separately from who holds a paid seat. See Owner, admin and member: what each can do and Invite people to a workspace.
- A seat is only needed to create. Recording, uploading or moving a recording into a team workspace needs a paid seat there; watching, commenting and downloading don't. See Who needs a paid seat, and who does not.
- It can be deleted, but only by its owner, and only once it's empty and has no active subscription.
Who can see what
- Your personal workspace: only you.
- A team workspace with two or more active members: everyone who's an active member can watch, comment on and download every recording in it, whoever made it. This is automatic - recording into a team workspace doesn't need any extra sharing step, though a recording's own sharing settings (who outside the workspace can open it) are separate. - The Workspaces page groups your workspaces into My Workspaces (ones you own) and Shared with me (ones you belong to but someone else owns).
When to create a team workspace
Create one when recordings need to be seen or worked on by more than just you - a small team that should see each other's demos and bug reports, for example, or a shared library for a project. Keep using your personal workspace for anything you don't want anyone else to see. For the full setup process, see Set up a team workspace from scratch.
