Find, accept or decline a workspace invitation EN

Where pending invitations appear, what accepting or declining does, and whether a paid seat comes with one.

You can be invited to a team workspace two ways: by an email with a link, or by a card in the Pending invitations section of your Workspaces page. Accepting joins you to the workspace right away. Declining is final. Whether the invitation comes with a paid seat is shown on the card before you choose, and decides whether you can record there immediately or only watch, comment and download until an admin gives you one.

Where to find a pending invitation

  • The email. Whoever invited you gets Rekorder to send an email with a link. Opening it takes you straight to the invitation.
  • The Workspaces page. Open Workspaces. If at least one invitation is waiting on your signed-in account's email address, a Pending invitations section appears above your list of workspaces, with one card per invitation.
  • Two pointers elsewhere. While any invitation is waiting, the Workspaces entry in the sidebar carries a count badge, and the workspace switcher shows a pinned "N pending invitation(s)" row above New workspace. Both link to the same Pending invitations section and disappear once every invitation has been answered.

Only invitations still within their 14-day window and addressed to your account's exact email address show up. If you were told you were invited but don't see it, check you're signed in with that exact address.

What a card shows you

Each card in Pending invitations shows:

  • the workspace's name;
  • the role you'd get - Member or Admin;
  • who invited you, with their name and avatar;
  • when it was sent, and how many days until it expires;
  • whether a paid seat is already reserved for you, or you'd join without one.

That last line matters before you decide: with a reserved seat you can record or upload into the workspace as soon as you accept. Without one, you can watch, comment and download, but not record or upload there until an owner or admin assigns you a seat. See Who needs a paid seat, and who does not.

Accept an invitation

  1. On the card, select Accept - or open the link in the invitation email and select Accept invitation.
  2. You're taken straight into the workspace.

If a seat was reserved for the invitation, it becomes yours the moment you accept - nothing else to do. If not, you're now a member without a seat; an owner or admin can assign you one later from Users & Seats. See Give someone a paid seat, or take it back.

Decline an invitation

  1. On the card, select Decline.
  2. Confirm with Decline again, or select Keep to back out without declining.

Declining is final. It can't be undone, from the card or from the emailed link, and it doesn't stop the same person from inviting that address again later - only a new invitation gets you back in. Any seat that was reserved for the invitation goes back to the workspace, free for someone else.

Answering from the Workspaces page vs by email

Accepting or declining from a card requires your account's own address to already be proven, so Rekorder only shows the Accept/Decline buttons to accounts signed in with Google, Apple, Facebook, or with an email sign-in link. If you're signed in with a Microsoft account, the card appears without buttons - open the invitation email sent to your address and answer from the link inside it instead.

Either way, the invitation is tied to one exact email address. If you're signed in with a different address than the one it was sent to, you'll need to sign out and sign back in with that address first.

Troubleshooting

  • The invitation isn't in the list. Make sure you're signed in with the exact address it was sent to - check the email if you're not sure. It may also have expired or been withdrawn; ask the person who invited you.
  • There are no Accept/Decline buttons on the card. You're signed in with a Microsoft account. Open the invitation email and answer from there instead.
  • The card disappears with a message instead of taking you in. The invitation changed after the page loaded - it may have expired, been withdrawn, already been accepted from the email in another tab, or the workspace may have been deleted. The message says which. Ask for a new invitation if you still want to join.
  • The emailed link says the invitation isn't available, is already used, or was sent to a different address. See An invitation link that will not work.
