What each one means, and which ones you can turn off.
Rekorder emails you when something happens to your account, your recordings or a workspace you belong to. Comment emails are the only ones you can turn off. The rest are about sign-in, sharing, billing or deleting things, so they always go out. Most are sent only when you, or someone you work with, does something that triggers them.
Emails you can turn off
- "[Name] commented on "[recording]"": someone else commented on one of your recordings. You don't get one for your own comments.
- "[Name] replied to your comment on "[recording]"": someone replied directly to a comment you wrote.
The owner's email comes from the Comment notification setting on each recording, which is on by default. To turn it off:
- Open the recording's video page.
- Open the Settings tab in the side panel.
- Turn off Comment notification.
This only affects that one recording. To make it the default for every future recording, click Set defaults after turning off the toggle. Recordings you already have keep their own setting.
Reply emails follow your default setting, not the setting on the recording. To stop them, set Comment notification to off and click Set defaults.
Reactions don't trigger an email. Only written comments and replies do.
Emails that are always sent
These emails don't have an off switch. Each one confirms something that happened or asks you to act.
Signing in and your account
- Welcome to Rekorder!: sent once, when your account is created. It says which sign-in method and location were used.
- Sign in to Rekorder: the sign-in link you asked for. If you didn't ask for it, you can ignore it. See Sign in with an emailed link.
Sharing and workspaces
- [Name] shared a recording with you!: someone added you as a specific person on a recording. Each person gets this email only once per recording. See Who gets an email when you share.
- You've been invited to join [workspace] on Rekorder: someone invited you to a workspace. The invitation expires after 14 days. If you weren't expecting it, you can ignore it.
- Your Rekorder Pro seat was removed: your paid seat in a workspace was released because the workspace no longer has enough paid seats for everyone.
Billing (sent to the workspace owner)
- You're now on Rekorder Pro!: a workspace was upgraded to Pro.
- Your Rekorder Pro plan renews soon: a reminder before renewal, with the seats and amount that will be charged.
- Your Rekorder Pro plan has renewed: the receipt for a successful renewal.
- Your card is expiring soon: the card on file expires before the next renewal. See Your card is expiring, or has expired.
- Please confirm your payment: your bank wants you to confirm a renewal charge.
- We couldn't renew your Rekorder Pro plan: a renewal payment failed. Rekorder will try again. See A renewal payment failed.
- Your Rekorder Pro plan has ended: the workspace moved back to the Free plan.
- Your Rekorder Pro refund: a refund was issued to your original payment method.
- Your Rekorder Pro seats changed: the number of paid seats changed or a seat change was scheduled. You get a similar email if a scheduled seat change is cancelled (Your scheduled Rekorder Pro seat change was cancelled).
- Your Rekorder Pro seat upgrade was not completed: you started adding seats but didn't finish. Nothing was charged.
Free limits and deletion of recordings
- [N] days left to get back within your free limits / Last day to get back within your free limits: reminders during the 30-day grace period after a paid seat ends. See The 30-day grace period and the deletion order.
- Recordings over your free limits were deleted: lists the recordings that were deleted when the grace period ended.
- Recordings were removed from [workspace]: a copy for the workspace owner when a member's recordings are deleted this way.
Deleting an account
- Confirm deleting your Rekorder account: the link that confirms your deletion request. Nothing is deleted until you click it. See Confirm your account deletion by email.
- Your Rekorder account is scheduled for deletion: your deletion is confirmed and has a date.
- Your Rekorder account will not be deleted: the deletion was cancelled.
- Your Rekorder account has been deleted: the last email you get. It says what was removed and what was kept.
- The [workspace] workspace will be deleted / The [workspace] workspace was deleted: sent to members of a workspace whose owner is deleting their account. The first email gives you time to download your recordings from that workspace.
To stop all of these emails for good, you have to delete your account. See Delete your account and everything in it.
Troubleshooting
If an email you expected never arrives:
- Check your spam, junk and promotions folders. If you find it there, mark it as not spam so later emails reach your inbox.
- Every Rekorder email is sent from an address on the rekorder.app domain, never from any other domain. Add rekorder.app to your contacts or your mail provider's safe senders list so future emails reach your inbox, and treat any "Rekorder" email from a different domain as not genuine.
- Check the email address on your account. Rekorder sends to the address from your sign-in method, such as Google, Microsoft, Facebook or Apple. See Sign in with Google, Microsoft, Facebook or Apple.
- If you signed in with Apple and chose to hide your email, Apple forwards Rekorder's emails to the inbox linked to your Apple ID.
- For comment emails, check that Comment notification is on for that recording, and on in your defaults for reply emails.
- If your company manages your email, its filters may be holding the email back. Ask your IT team.
