Take the seat first, then move the recordings, and why a target is sometimes refused.
To move your recordings from your personal workspace to a team workspace, first make sure you hold a paid seat in the team workspace, then use Move on your recordings. Rekorder refuses a move into a team workspace where you don't have a seat, so the seat has to come first.
Before you move: get a seat in the team workspace
A move into a workspace counts as adding new content to it. That needs a paid seat in that workspace, the same as recording or uploading there. Your personal workspace, and a Pro plan on it, don't cover a team workspace. A seat in one team workspace doesn't cover another.
- Check that the team workspace is on Pro. A team workspace on the Free plan has no seats, so nobody can move recordings into it until it's upgraded. See Upgrade a workspace to Pro.
- Check that you have a seat.
- If you're the workspace's owner, you get a seat automatically when the subscription activates.
- Otherwise, ask an owner or admin of the workspace to assign you one. If every seat is taken, they need to free one up or buy more. See Give someone a paid seat, or take it back.
- Open your Workspaces page. If the team workspace's card says Needs a paid seat, you don't have a seat there yet.
You don't need a seat to watch, comment on, download or edit recordings that are already in the team workspace. See Who needs a paid seat, and who does not.
Move recordings to the team workspace
You can move only recordings you own. Recordings that other people made in a team workspace show no Move option.
One recording
- In your Library, open the menu on the recording's card. You can also open the recording and select More options (the three dots) on its page.
- Select Move ….
- In Workspace, choose the team workspace.
- In Folder, choose one of your folders in that workspace, or leave No folder (workspace root).
- Select Move.
Several recordings at once
- In your Library, tick the checkbox on each recording you want to move.
- In the bar that appears, select Move.
- Choose the Workspace and Folder, then select Move.
The folder list only shows your own folders in the workspace you picked. Your folders from the personal workspace don't come with the recordings, so create the folder in the team workspace first if you want to keep things organised the same way. See Organise recordings into folders.
What changes when a recording moves
- Teammates can see it. Your personal workspace is private to you. Once a recording is in a team workspace with two or more active members, those members can watch, comment on and download it. Moving doesn't change the recording's own sharing settings. Check who you want to see it before you move it.
- It stops counting against your free limits. While you hold a seat in the team workspace, its recordings don't count towards your free minutes and storage. If the seat ends later, they count again. See The free allowance: 60 minutes and 1 GB, explained.
- You're still the owner. The recording stays yours, and you can still move, archive or delete it.
- Your next recording doesn't move with it. Where new recordings land is a separate setting. See Set where your next recording lands.
Troubleshooting
- The team workspace is greyed out in the Workspace list. Rekorder lists every workspace you belong to, and disables the ones it would refuse. The reason is shown after the name. needs a paid seat means you don't have a seat in that workspace. Follow the steps above.
- You see "Adding recordings to that workspace needs a paid seat there. Ask an admin of that workspace for one." The move was refused for the same reason. Ask an owner or admin for a seat, then try again.
- The workspace isn't in the list at all. You need to be an active member. Check Pending invitations on your Workspaces page. See Find, accept or decline a workspace invitation.
- You see "Pick a different workspace or folder." The recording is already in that workspace and folder.
- A move back to your personal workspace is refused. If your free minutes or storage are used up, Rekorder won't move recordings from a seat-covered workspace into it, because they would count against your free limits again. The message says which limit you've reached. Delete a recording or upgrade to Pro, then try again.
- You moved several recordings and some didn't move. When you move recordings in a batch, Rekorder doesn't report which ones were refused. Check the team workspace's Library, and move any that are missing one at a time to see the reason.
- You need to reverse a move. Use Move … again and choose your personal workspace, subject to the limit above.
