Set up a team workspace from scratch EN

Create it, invite people, assign the seats, then point the recordings at it.

To set up a team workspace, you create it, upgrade it to Pro so it has paid seats, invite your teammates, give the people who will record a seat, and then make sure recordings go to the workspace. Do the steps in this order, because seats can only be assigned once the workspace is on Pro.

You'll be the workspace's owner. Only the owner can buy Pro. Admins can invite people and assign seats, but they can't manage billing.

1. Create the workspace

  1. Open the Workspaces page. It lists your personal workspace and any team workspaces you belong to.
  2. Select New Workspace.
  3. Type a Workspace name. It can be up to 50 characters.
  4. Select Create.

Your personal workspace is private to you and can't have teammates, so a team needs a workspace of its own.

2. Upgrade it to Pro

A new team workspace is on the Free plan and has no paid seats. Until you upgrade, nobody can record into it. Members can still watch, comment and download.

  1. Open Users & Seats for the workspace. On the workspace's card, open More options and select Manage users & seats.
  2. Select Upgrade to Pro next to No paid seats. This opens the pricing page with a two-seat team already quoted.
  3. Set the number of seats you need, then complete checkout.

As a rough guide, count one seat for each person who will record, upload or move recordings into this workspace. You can add or remove seats later. Viewers and commenters never need one. See Who needs a paid seat, and who does not.

The checkout has its own steps for the plan, billing address and payment. They're covered in Upgrade a workspace to Pro. You'll be given a seat automatically when the subscription activates. That seat can't be taken back.

3. Invite your teammates

  1. On Users & Seats, select Invite teammates.
  2. Check that the right workspace is selected.
  3. Under Email addresses, enter one address per line, or separate them with commas. You can invite up to 50 addresses at a time.
  4. Choose a Role: Member or Admin. Use Admin only for people who should manage members and seats. See Owner, admin and member: what each can do.
  5. Select Send invitations.

Each person gets an email. Invitations expire after 14 days, and everyone on the workspace's Users & Seats page can see who is still pending. Invitations don't cost anything, and you can invite more people than you have seats.

Some addresses may be skipped, and the results screen says why: the address isn't valid, the person is already a member, an invitation is already pending, or the email couldn't be sent.

Invitees accept from the email link, or from Pending invitations on their own Workspaces page. If they're signed in with a different email address than the one you invited, they need to switch accounts first. For the details, see Invite people to a workspace.

4. Assign the seats

On Users & Seats, the meter at the top shows how many seats are assigned and how many are available.

  1. Open the menu on a person's row.
  2. Select Assign paid seat for someone who has already joined.
  3. For someone who hasn't accepted yet, select Reserve a seat on their pending invitation. The seat is held for them and counts as used until they accept.

If Assign paid seat is greyed out, every seat is taken. Either take a seat back with Unassign seat, or buy more. See Give someone a paid seat, or take it back and Add seats now, and what proration costs.

People without a seat still keep full access to watch, comment on and download recordings. When they accept, they see a note saying whether a seat is reserved for them.

5. Point recordings at the workspace

Where a recording lands is a setting for each person, not for the workspace. Every person who will record should check theirs:

  1. Open the Workspaces page.
  2. On the team workspace's card, select Record here, or the camera button at the top left of the card.
  3. The card then reads All your new recordings go here.

The extension popup also shows where your next recording will land. If a card says Needs a paid seat, that person doesn't have a seat in the workspace yet. Ask an owner or admin for one. Troubleshooting

  • Assign paid seat is greyed out. All your seats are assigned. Free one up or buy more.
  • You don't see Users & Seats controls. Only an owner or admin can manage users and seats. Everyone else sees a message saying so.
  • Someone can't record in the workspace. They probably don't have a seat there, or their recording destination is still another workspace.
  • An invitation link doesn't work. It may have expired, been revoked, or been sent to a different email address. See An invitation link that will not work.
